MBO4 I Pay Grade 8 I One-year contract with the possibility of a permanent position I 36 hours

You start your workday with a brief check-in with your two colleagues and quickly get a clear sense of what the priorities are. A schedule changes, a meeting requires preparation, and colleagues are counting on your support. You maintain a clear overview, adapt easily, and ensure that everything is handled properly. With your experience, attention to detail, and foresight, the board can rely on your well-organized support.

What will you do?

As an executive secretary, you will work full-time, serving as the central point of support for the board at least on Wednesdays and Fridays. Thanks in part to you, everything runs smoothly behind the scenes, and board members can rely on a well-organized secretariat.

You manage complex schedules and ensure that everything fits together logically, even when plans change at the last minute. You prepare for meetings and consultations, ensure that documents are complete and ready on time, and carefully record agreements and decisions. At the same time, you keep track of email inboxes, tasks, and ongoing matters—and there are often many of them at once.

You will organize meetings and events and be involved in administrative processes, such as royal honors. You will coordinate, make arrangements, and ensure that everything runs smoothly. In doing so, you will work closely with colleagues both within and outside the secretariat.

In this role, many tasks overlap, and priorities can shift throughout the day. That’s exactly when you bring calm, clarity, and structure to the situation. You keep a clear focus on what needs to be done, set priorities, and ensure that the work continues smoothly.

Here's what we offer you

  • Attractive employment conditions; a competitive salary based on pay scale 8 of the municipal collective bargaining agreement (up to €4,556 gross per month for full-time employment), an Individual Choice Budget (IKB) of 17.05%, travel allowance, a pension plan through ABP, and discounts on various insurance policies.
  • A varied job; one day you’re handling complex scheduling, and the next you’re processing an application for a royal honor.
  • Plenty of opportunities to develop through training, courses and workshops.
  • Room for your ideas; if you think things can be done differently we are open to that.
  • Excellent work/life balance; we will provide you with a laptop and a cell phone so you can work from home as well as in the office.
  • Attention to your vitality; participation in our vitality program, annual multiple activities with the entire organization and team, and a fun work café!

Who are you?

We’re all different, and that’s wonderful. It means we can accomplish so much more together than we could on our own. Still, all our secretaries share a number of common traits. Do you see yourself in this description?

  • You work independently, identify what needs to be done, and take the initiative.
  • You think ahead and ensure that processes run smoothly with a service-oriented attitude.
  • You have a good sense of what’s going on and navigate administrative settings with tact and professionalism.
  • You bring calm and clarity, even when the workload increases and there’s a lot going on at once.
  • You are confident and set boundaries in a pleasant and clear manner.
  • You switch smoothly between different tasks while maintaining a clear overview.
  • You work carefully and consider the quality of your work to be important.
  • You have experience in a role where you provided intensive support and possess strong organizational skills.
  • You have an affinity for an administrative environment, such as a municipal government.
  • You are comfortable working with digital systems.
