Job Opening: Civil Affairs & Customer Service Representative

MBO4 | €4,065 | one-year contract with the possibility of a permanent position | 32 hours

With a cup of coffee in hand, you catch up briefly with your colleagues before taking your seat in the Customer Contact Center. The phone never stops ringing, and the questions are varied. You think on your feet, listen carefully, and make sure residents can move forward. After lunch, your focus shifts to the Civil Affairs desk. You help residents with applications, process filings, and answer questions that require knowledge of laws and regulations. No two days are the same. It’s precisely this combination of service, variety, and substantive challenges that energizes you.

What will you do?

As an employee at the public service center, you serve as a vital link between residents and the municipal administration. You’ll work in various settings: at the customer service center, at the front desk, and in the civil affairs back office. This makes the work varied, but also demanding. You’ll switch quickly between customer inquiries, systems, work processes, and regulations. You won’t just give superficial answers; instead, you’ll ask probing questions and help residents resolve their issues as quickly as possible.

Every day is different in this versatile role. At the service counter, you’ll handle applications for driver’s licenses and passports, as well as process change-of-address notifications, births, and deaths. On the phone, you’ll answer a wide range of questions, such as those regarding public order, taxes, or municipal services. To do this, you’ll quickly build up a solid foundation of knowledge about products, processes, and systems. You’ll then gradually deepen your understanding of the knowledge required for front-desk duties and your own area of focus.

In addition to providing daily services, you’ll take on a specific area of focus, such as permits. Some tasks are subject to legal requirements regarding training and knowledge. You either already have that training, or you’re willing and able to obtain it. This requires dedication, concentration, and perseverance, because you’ll be learning this alongside everything else that comes your way in your new job. You’ll also be working in a team that’s still taking shape. We’re working hard to standardize processes and procedures. Variable schedules are part of the job and require a high degree of flexibility.

Here's what we offer you

  • Attractive employment conditions; a competitive salary based on Scale 7 of the Municipalities’ Collective Bargaining Agreement (up to €4,065 gross per month for a 36-hour workweek), an Individual Choice Budget (IKB) of 17.05%, reimbursement for commuting expenses, a pension plan through ABP, and discounts on various insurance policies.
  • A varied job; one day you’re busy processing applications for (travel) documents, and the next day you’re on the phone helping customers find a suitable solution.
  • Plenty of opportunities for professional development through training programs, courses, and workshops, including training required to meet legal requirements for civil affairs.
  • A dedicated team that’s growing; together, we’re building clear processes, consistent guidelines, and a pleasant working relationship.
  • Room for your ideas; if you think things can be done differently we are open to that.
  • Focus on your well-being; participation in our wellness program, several annual activities involving the entire organization and your team, and a fun and healthy work café!

Who are you?

We’re all different, and that’s wonderful. It means we can achieve so much more together than we can on our own. Still, all our employees in Civil Affairs and KCC share a number of common traits. Do you see yourself in this description?

  • You have experience with customer service over the phone—for example, in a call center—and feel right at home in a role where customer service is key.
  • You’re good at switching between different tasks, systems, and priorities. Even under pressure, you maintain a clear overview and continue to work effectively.
  • You are flexible and can handle a lot of new information, varying tasks, schedule changes, and unexpected situations.
  • You see opportunities to improve our services, actively contribute ideas, and take on additional tasks and responsibilities when necessary.
  • You have knowledge of laws and regulations in the field of civil affairs, or you are willing to quickly acquire this knowledge through relevant training programs.
  • You enjoy personal development, learn quickly, and actively keep your professional knowledge up to date.
  • You'll find energy in a dynamic work environment where independence and initiative are valued.
